• Contact information such as your name, work email, phone number, company, and job role.
• Business information such as team size, service-call volume, operational assumptions, and the results of a Field Readiness Score.
• Demo, checkout, newsletter, or support requests, including information you enter into scheduling, purchase, and registration forms.
• Technician roster or license-count information that an authorized company representative provides when setting up team access.
• Messages, service-note examples, or other content you choose to send to HVAC Hero.

Information collected automatically

When you use the site, our hosting provider and embedded services may receive technical information such as your IP address, browser and device type, operating system, referring page, pages viewed, approximate location derived from an IP address, and timestamps. These services may use cookies, local storage, or similar technologies according to their own policies.

3. How we use information

We may use information to:

• Provide, operate, maintain, and improve HVAC Hero.
• Generate requested readiness results or personalized evaluation plans.
• Respond to questions and schedule or prepare product demonstrations.
• Set up and support paid team access, subscriptions, and onboarding.
• Send requested newsletters and product communications, subject to your communication choices.
• Measure site performance, prevent abuse, secure our services, and troubleshoot problems.
• Comply with applicable law and protect the rights, safety, and integrity of HVAC Hero, our customers, and others.

4. When information is shared

We may disclose information to service providers that help us host the website, process forms, schedule meetings, deliver embedded video, communicate with prospective customers, maintain business systems, or secure our services. Current website services may include Netlify, Calendly, and Loom.

We may also disclose information when required by law; to investigate fraud, abuse, or security incidents; to protect legal rights; or as part of a merger, financing, acquisition, or sale of business assets. We do not sell or rent personal information for money.

5. SMS communications

HVAC Hero sends transactional, account-related text messages to technicians so they can activate and sign in to the HVAC Hero mobile app. Messages may include an app download link, a one-time sign-in link, a numeric sign-in code, and related account notices. This program does not send marketing or promotional text messages.

A subscribing employer may invite a technician to use HVAC Hero, but the employer cannot consent to text messages on the technician's behalf. Before the work mobile number is submitted, the technician is shown or read the disclosures in our SMS enrollment and consent flow and must personally agree to receive the account messages. We record the technician's affirmative consent, work mobile number, date and time, customer account, and consent source. If the technician does not agree, the number is not enrolled and no text message is sent.

• Message frequency varies based on account activity.
• Message and data rates may apply.
• Reply STOP to opt out or HELP for support.
• Carriers are not liable for delayed or undelivered messages.

We do not sell, rent, or share mobile phone numbers, text-messaging originator opt-in data, or consent with third parties or affiliates for marketing or promotional purposes. All other sections of this policy exclude text-messaging originator opt-in data and consent; that information will not be shared with any third parties, except messaging providers and aggregators solely as necessary to deliver and support the text-messaging program. 6. Cookies and embedded services

HVAC Hero pages may contain third-party scheduling tools, videos, or other embedded content. Those providers may set or read cookies and collect usage information when their content loads. You can limit cookies through your browser settings, although doing so may affect embedded scheduling or video features.

7. Retention and security

We retain information for as long as reasonably necessary to provide the requested service, maintain business records, meet legal obligations, resolve disputes, and enforce agreements. Retention periods vary based on the type of information and why it was collected.

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your choices and requests

• You may unsubscribe from marketing email using the unsubscribe link in an email or by contacting us.
• You may use browser controls to limit cookies or clear stored website data.
• Depending on where you live, you may have rights to request access to, correction of, or deletion of certain personal information, or to receive information about how it is used and disclosed.

9. Children

HVAC Hero is intended for businesses and working professionals. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

We may update this policy as our services or practices change. The “Last updated” date at the top of the page shows when the policy was most recently revised. Material changes will be communicated as appropriate for the nature of the change.
